Roles and permissions
Every workspace member has a role, which sets what they can manage. Editors also have an access level, which sets what data and tools they can see.
Roles
Owner: Has all Admin permissions, and is the only role that can't be removed by an Admin from the workspace. Every workspace has one Owner.
Admin: Can change workspace settings, manage Admins, Editors and Viewers, access all sources and tools, and create or delete teams.
Editor: Can access sources, tools, and reports either across the whole workspace (Full access) or only within their team(s) (Team-based access). Within their own team(s), an Editor can invite or remove Viewers (see Teams below).
Viewer: Read-only access to the sources, tools, and reports they've been given access to. Can't invite or remove members, change workspace settings, or create teams. Can only view up to 10 specific reports shared with them individually. Can be promoted to a full member at any time (see Promote a guest to a member).
Full access vs. team-based access (Editors only):
Full access: Access to all sources, tools, reports, and folders across the workspace.
Team-based access: Access limited to the sources, tools, reports, folders, dimensions, and values defined in the team's settings.
How to access User Management
Click your avatar at the bottom of the page, then select Workspace Settings.
From the navigation bar, select User Management in the Workspace section.
Invite a workspace member
Click Invite members in the Workspace section.
Enter their email address and choose a role. See Roles and permissions above for what each role can do.
Invite a viewer/guest
Click Invite guests in the Guests section.
Enter their email address and select the reports they can view (up to 10). As a reminder, a guest only sees the reports you share with them individually — see Roles and permissions above.
Promote a viewer/guest to a member
This turns a guest (limited to specific reports) into a full workspace member with a role and access level of their own.
Who can do this?
Owners
Admins
Editors with Full access
Steps:
In the guest list, under User Management, click the action menu next to the guest's name and select Promote as member.
A modal opens, pre-filled with a role and access level — adjust if needed:
If you chose Team-based, select the team(s) to add the member to.
Adjust any other settings, then click Update.
The guest is now a member with the role and access you set.
Manage members
From the member list, you can edit a role or access level, copy an email address, release a seat, or edit several members in bulk.
If an invitation is still pending, you can resend or revoke it from the same menu.
Remove a member
This is different from removing someone from a team (see Teams below): removing a member here takes them out of the workspace entirely.
Seat note: A member is counted once at the organization level, even if they belong to multiple workspaces. To free up their seat, remove them from every workspace they're a member of.
Who can do this?
Owners can remove Admins, Editors, and Viewers.
Admins can remove Admins, Editors and Viewers.
Editors can't remove members from the workspace (they can only remove Viewers from their own team — see Teams below).
Steps
Go to Workspace Settings > User Management.
Find the member you want to remove.
Click the three-dot menu (⋯) next to their name and select Select member. You can select several members at once to remove them together.
Click Delete in the action bar that appears at the bottom of the screen.
Repeat for every workspace the member belongs to — their seat is only freed once they're removed from all of them.
Troubleshooting
Issue | Fix |
Delete option not visible | Check that you have the Owner or Admin role in this workspace — Editors and Viewers can't remove members. |
Seat not freed after removal | The member is still part of another workspace. Remove them from all workspaces to free the seat. |
Tips: View and release seats across your organization (Owner & admin only)
This page gives you a single view of every seat used across all your workspaces, for every role, and lets you release a seat in one click, instead of checking User Management workspace by workspace.
How to access it
Click your avatar, then select Organization Settings.
Go to Usage & Limits.
Click View used seats. This opens the Used seats across all workspaces page.
What you'll see
Seats are split into two tabs: Members (Owner, Admin, Editor) and Viewers.
For each seat, you'll see their name and email, their workspace role(s). A member can hold different roles in different workspaces, so you may see several listed together (e.g., "Editor (all workspaces)" or "Owner (Workspace A, Workspace B, +1)") and their status.
Release a seat
Find the seat you want to free up. Use the search bar to search by name or email.
Click the icon to the right of their row, then select Release seat.
This is the fastest way to free a seat when someone holds the same role across several workspaces, you don't need to remove them from each workspace individually.
Teams
Teams define what a Team-based Editor can see and do and let Editors invite or remove Viewers within their own team, without giving them workspace-wide member management rights.
A team itself isn't a role. It's a set of sources, reports, and filters, plus a list of members. Team-based restrictions only apply to Editors: adding an Owner or Admin to a team doesn't limit what they see, they always keep full access to every report regardless of team membership.
When to use team-based access
Set up teams when you have:
Multiple regions or countries — each team works in its own area.
Different marketing channels — social team, search team, email team.
Multiple clients or brands — each gets their own team with their own data.
Different experience levels — junior staff, managers, and directors need different tool access.
Sensitive data — some members should only see specific information.
Create a team
Click the Teams tab in Workspace Settings.
Click Create teams.
Enter a team name.
Select the tools the team can access (e.g., Pivot Table, Waterfall, Goals, Campaign Pacing, Anomaly Detection, Top & Flop, spyneAI, Root Cause Analysis, Data Status).
Select folders and reports:
Select specific reports when only certain ones are relevant — e.g., a social media team may only need the "Social Media Performance" report.
Share an entire folder to give the team access to everything in it, including subfolders.
Add filters:
By default, a team has access to all dimensions and values. For example, with a "Country" dimension (FR, US, UK, DE, IT), a team sees all countries by default.
You can restrict this to specific values — e.g., a national team might only see "FR" or "DE". This also works for channels and sources, which is one of the most useful filters for advertising teams.
Example: with Meta sources (Facebook Ads, Instagram Ads), you can create a Meta Performance Team that only sees Meta data.
Filter groups let you combine rules precisely:
Inside one group, conditions use AND logic (all must match). Example: "Country is France" AND "Device is Mobile" → the team only sees French mobile data.
Across multiple groups, logic is OR (any group can match) — useful when a team covers several countries or channels. Example: Group 1 = Country is France, Group 2 = Country is Germany → the team sees data from France or Germany. Click Add Filter Group to add each rule.
Click Create a new team to finish.
Add members to a team
Only active workspace members can be added to a team — viewers/guests can't join. Invite them to the workspace first (see Roles and permissions above), then add them here.
Manage teams
From the Teams tab, you can edit or delete a team at any time.
